Refund & Cancellation Policy
At The Ballroom Club, we are committed to providing high-quality dance instruction and a positive experience for all our students. To ensure fairness to our students and instructors, the following policies apply to all lessons, classes, packages, and events.
Private Lesson Packages
All dance lesson packages are non-refundable and non-transferable once purchased.
Students are encouraged to consider their schedule and availability before purchasing a package. Packages may not be shared with or transferred to another person unless approved by The Ballroom Club.
In exceptional circumstances, such as a serious medical condition or other significant situation that prevents a student from continuing, The Ballroom Club may review a request for an exception on a case-by-case basis. Supporting documentation may be requested. Any exception is at the discretion of The Ballroom Club and subject to applicable Ontario consumer protection laws.
Private Lesson Cancellations
Private lessons require a minimum of 24 hours’ notice for cancellation or rescheduling.
Lessons cancelled or rescheduled with less than 24 hours’ notice, as well as missed appointments (“no-shows”), will be charged as a completed lesson and deducted from the student’s package.
We understand that emergencies happen. Exceptional circumstances may be considered at the discretion of The Ballroom Club.
Group Classes
Payments for individual group classes and group-class packages are non-refundable and non-transferable.
Missed group classes are not eligible for refunds or credits unless otherwise agreed to by The Ballroom Club.
Competitions, Showcases & Special Events
Competition entries, showcase fees, event tickets, coaching sessions, costumes, travel-related expenses, and other special-event payments are non-refundable once the studio has committed or paid the associated fees on the student’s behalf.
If an organizer provides The Ballroom Club with a refund or credit for a cancelled event or entry, any applicable refund or credit to the student will be determined based on the amount actually recovered, less any non-refundable expenses already incurred.
Studio Cancellations
If The Ballroom Club cancels a private lesson or class, the lesson will not be deducted from the student’s package. The student will be offered a rescheduled lesson, studio credit, or other appropriate arrangement.
Package Expiration
Lesson packages must be used within the validity period specified at the time of purchase. Unused lessons remaining after the expiration date are not refundable.
Extensions may be considered for exceptional circumstances and must be approved by The Ballroom Club.
Agreement to Policy
By purchasing a lesson, package, class, event, or other service from The Ballroom Club, the student acknowledges and agrees to this Refund & Cancellation Policy.
